The Bell Fund is searching for an OFFICE AND COMMUNICATIONS ASSISTANT, for a 12-month contract, located in our Toronto office.

About the Bell Fund
Established in 1997, the Bell Fund supports Canadian media content makers in creating for and
connecting with, audiences here and everywhere. The Bell Fund is a not-for-profit organization. It has been certified by the CRTC as an independent production fund eligible to receive and administer contributions from broadcast distribution undertakings. The Fund is governed by a nine-member board operating at arm’s length from Bell TV and has offices in Toronto and Montreal.

Summary:
This position requires an individual who is eager to learn, with an administrative background and excellent communication skills. The successful candidate will be organized, have independent judgement, initiative, and the ability to work well under pressure with multiple activities and deadlines. The candidate must be a team player that is comfortable in a small, open-concept office. A working knowledge of the screen-based industries is strongly recommended. Bilingualism is an asset.

The Office and Communications Assistant will report to the Executive Director and take day-to-day operational direction from the Deputy Directors in the Toronto and Montreal offices.

Responsibilities:

Administrative:
• Maintain internal database information, application, self-identification, and evaluation portals.
• Support the program application and evaluation processes by creating charts and inputting data.
• Liaise with service providers and vendors regarding office equipment and services.
• Support the creation of presentations, research, and reports (including charts and graphs).
• Provide administration support e.g. filing and office organization.
• Maintain a tidy, organized office, tracking and ordering supplies as needed.
• Special projects and other tasks, as required.

Communications
• Point of contact for the Canadian production community by answering telephone calls, responding to email and social media inquiries.
• As directed by staff, monitor and update Bell Fund website, social media accounts, mailing lists and newsletters.
• Support the coordination of event registrations and coordination of meetings.

Requirements:
• Strong time-management and organizational skills.
• Demonstrated ability to manage and prioritize a varied workload independently, while working well with a team.
• Excellent English-language communications skills (written and oral).
• Experience with email marketing systems, preferably MailChimp.
• Familiarity with social media tools and WordPress (basic knowledge of HTML).
• Dynamic thinker with an ability to work under pressure.
• Post-secondary education in media or communications; or relevant work experience is preferred.
• Proficiency with Microsoft Office programs, Adobe Acrobat, online databases, and other web tools (e.g. Zoom, Microsoft Teams).
• Familiarity with graphics tools such as Canva and Photoshop is an asset.
• Experience working in the media/screen-based industry is welcomed.
• Fluency in French-language is an asset.
